? Controlling your Building Business Task Introduction Like any other company, all companies need to have an organizational structure to help in running it effectively. For example, a company operates and executes its services and products to its clients. As an engineering and construction company, it has to have a large scope with several employees on board that will befit its aim and objectives. The firm does not act as an engineering and construction company but also a consultancy firm in that area. The company has functional departments, which have fully detailed offices (Ward, 2011). Company Structure •BOD consists of five members. •The chairman will also act as the chairman of all other companies in their group. •Vice chairman will also be the real C.E.O of the firm. •GM department. •F.A department where accounting, treasury and finance participated. •HR Department. •Organisational Department. •Information communication and technology department where technologies, licence and patent are issued. •G.M is defined as the operating manager of the company, since the vice Chairman who is working directly under the General Manager, took majority of the general manager work. •There is Engineering Manager who is directly involved with project control, project co-ordination, planning, purchase and proposal sectors. •Construction manager is involved with site construction management. •Project manager to compose all of the organization projects also represents the General Manager in external activities. This structure will fundamentally fit into an outstanding engineering and construction company, where co-ordinator is given weak power and much power given to engineering and construction departments. Vice-chairman is the actual C.E.O while general management is separated between engineering manager and constructional manager of the company (Wang, 2011). Activities of Each Department The board of directors plays a role in coordinating the company with other companies in the industry. Apart from giving the company a favourable image externally, the directors also help the company realize what exactly their clients need and target, the director tends to lift up the company by chipping in new ideas from the industry, also from their rivals. The relationship between the director and the chairman will help lift the company into the correct direction as far as business, construction and engineering are involved. Since the chairman will act as the chairman of other company’s group, good support from other groups can assist the company in many ways possible to its prosperity. The chairperson can also give speeches to the employees to motivate them. The vice chairperson is to be the actual CEO of the company, the vice-chairman will confirm that all activities in the company run parallel accordingly to the company and watches keenly not to experience any set back in the company. General Manager is divided into two categories: engineering manager and construction manager. Both will supervise specific areas to find if duties of their employees in the company, right from the lowest rank in the company to the highest rank, have executed their duties as required, and principal activities are running smoothly. Since the department is divided into two, activities in the company will be easy to run and there will be no congestion in this department, hence accuracy and efficiently prevails. The finance department will be checking and dealing with issues concerning funds: accounting, treasury and finance. All functions that involve monetary issues are to be dealt with financially, and authentic records kept for future use. Human resource department includes new employees who look for employment and those who want to leave the company. This is the department that deals with hiring and firing of employees. Almost all activities around the company concerned with employees were sorted out here. Organisational department is where the entire activity of a company is arranged according to the company’s way of understanding. For example, the organisation structure of the company must correspond to how the company ranked the departments right from the lowest level to the highest level without any minor mistakes. Organization department also has issues that relate to how employees in a company interact with each other with no ill motives right from the subordinate to the chief executive officer. This leads to the company comprising of employees with upright morals. This is due to a well-organized company with strong organizational skills (NEC Contracts, 2002). ICT department is information communication and technology sector where majority of work involved in the company is keyed into the computer system stored and remitted from one place to another using electronic. This has helped the company a lot by reducing bulky paper work. For example, saving and recording files in a cabinet which is tiresome, is now replaced by computer systems, all of this is done just on a “click of a button”. This has also enhanced communication between the company and its clients: the faster communication, the more the clients, thus more money making. This has helped the company work easier and faster to serve clients in time and beat the deadline. This will modify the department to communicate easily electronically to solve the problems of the company effectively. How the Business Will Operate The business will operate in an engineering and construction company. The business will perform its duties smoothly when all the departments will work and correspond hand-to-hand with each other department. For example, the department of information communication and technology will reduce paper work, since bulky files and paper materials will be replaced by the computer system. These will enhance fast communication among the departments in the company hence increase accuracy of information and effectiveness. ICT will affect the provision of employment within the company environment for those people who will have ICT qualifications or skills in the company. A general manager post is divided into two categories: engineering manager and construction manager. This will help the company execute its duties efficiently and effectively. Because of the client, there will be no queuing or crowding at one point to strike deals with the general manager concerning engineering or construction issues hence the engineering client will go to the engineering manager, and construction client will go to specifically construction manager saving time and energy. The services are fast, thus money is pumped into the company. Finance department will check and control all matters concerning money in the company. These will make and approve that no money is spent against the company rules and regulations. For example, everything involving the company’s money has to be recorded down and stored safely for future reference and for the company’s best interest. By doing so, no single amount of money will disappear easily without fast tracking it back into the company, this will lead to a financially and economically stable company that makes profits frequently. Human resource department will always ensure that the company recruits highly qualified staff, enabling provision of quality work to the clients. Quality human resource manager will find the most qualified recruits for the company to produce quality production to the company’s client. The company following these suits will generate a marketable name into the industry of a nation while producing top class work to the client hence gaining stability, both economically and financially. As the chairperson will assume the position of externally chairing other groups of chairpersons in the industry, the vice chairperson is also the actual chief executive officer of the company. By these, the company perpetrates equal distribution of power amongst its senior staff members. These will create an industrious and harmonious environment for all, where the chairperson does not feel that she/he is stronger than the other senior members of staff. In addition, the general manager position has also been separated into two branches consisting of engineering and construction managers, whereby the company does not only motivate the staff members but also creates harmony among all the staff members with a robust intent to benefit the company. A well-organized company experiences minor problems. Everyone is organized right from the lowly ranked staff to the most highly ranked staff. This emerges a company with organized environment including the company’s resources and staff members. When a company is organized, the staff tends to respect each other because none of the staff would like to be seen as disorganised. A company with organisation structure always has rules and a regulation to follow, so the staff commitment indicates loyalty to the company. Business Registration and licensing Registration For the purposes of registration, the company has already reserved a name in the registry. The necessary fees have been submitted and the verification slip form already issued. The business is ready to start its operations before the expiry of the reservation period. The company has hired an expert lawyer to help it in the process of incorporation. The lawyer has been of enormous help in assisting to draft the article of association and the memorandum of association. These have been put together with the other prescribed documents and the required fees and have been sent directly to the registry. The company has also hired the services of a registered certified, public secretary. The administrative assistant will be in charge of correspondence and organizing meetings and events in the company. The company has also sourced for its directors' the company list of consent for individuals sort to act as directors of the company. The necessary documents required for registration purposes are obtained. All the requirements for registration have been met. The company is anticipating formal receipt of certificate of incorporation to start its operations. Licensing For the purposes of licensing, the company has applied for both the state licenses and the national licenses. Since the company is dealing with construction and engineering works, the company has sourced for state licenses. This is to facilitate full operation of building contractors, accountants, appraisers, private security guards, transport services and real estate agents. The company has also sourced for local and federal permits and licenses. For proper zoning, the company has sourced for a permit complying with zoning requirements. This is to ensure that the area reserved is ideal for the purposes of the business. The company has also obtained a building permit since its outstanding work is the building, remodelling and tenant improvements of residential houses in the locality. Various restrictions and requirements in a locality have been levelled the company that has gone through the local ordinances to prevent constructions on restricted areas. Contracts The company has signed contracts with a number of parties to ensure conformity to its specific and general objectives. The contracts have been signed with employees, house owners, private security guards, contractors and tenants occupying the residential areas to be remodelled. The company has resolved to hire an expert lawyer to help in resolving disagreements between the company and the other parties in case of breach of contracts, thorough explanations of contracts to ensure both parties are well acquainted with their terms and conditions. The expert will also act as the company’s representative in legal matters or court disputes in case of breach of contracts. The company has invested in employing qualified personnel to fulfil the construction obligations (Murdoch & Hughes, 2008). Taxation and Capital Purchases For purposes of taxation, the company has registered with the International Revenue Service to ensure full compliance with taxation procedures. The reason behind this is to stay away from tax evasions that can lead to penalties to the organization. The organization has also sought the services of a financial advisor. The officer would evaluate the overall self-assessment system of the company to determine the amount of corporate tax that the company is to pay for its incomes and profits, the various changes that might be needed to the taxing system and play an advisory role to the company on taxation matters. The company has also obtained the employer's tax identification and setup a PAYE system. This is to facilitate easier payment of tax arrears by employees and company directors. The company has secured crucial documents to secure its physical capital purchases. These include parcels of land for building of company infrastructure and rental apartments for its employees. Occupational Health and Safety A company has taken various measures to ensure occupational health and safety of individuals in the surrounding environment who are to be impacted by operations of the company. This complies with the occupational health and safety act. Because of the pollution effects on the environment, the company is planning to setup a health facility for the individuals around the construction site. This is will be for treatment of various illnesses related to air pollution and injuries sustained by non-workers. The company has resolved to take worker cover policies for some of employees who has sustained injuries during work. It has also outlined various compensation measures in case of permanent injury or disability that may arise in the event of work. The company has decided to purchase various protective gadgets and equipment to be worn by its employees in the course of work. This is to avoid minor injuries and various health hazards associated with the construction process. The company has ensured that all its employees are accommodated. It has bought houses and apartments for its employees who wish to stay around the company’s site through an affordable and reliable means of rental payment procedure. The tenants whose houses are to be remodelled have been given alternative houses for affordable and reliable rental payment procedures. Environmental Issues Environmental issues have been adequately catered for. To diminish the quantity of air effluence because of dust, the company has bought various automobiles for watering purposes to limit the dust pollution. The company has strictly followed the federal laws to ensure safe exploitation of building materials that are sourced from the location. The company has also taken an initiative to maintain supply roads to prevent destruction by large transport vehicles that destroy the road networks. It has constructed lavatory facilities, disposal bins and other hygienic materials to maintain a healthy hygiene and give room for a high level of sanitation. Administrative Systems OHS and worker cover The company has adopted an occupational, health and safety program in its administrative system. This system contains an act that clearly specifies the individuals who are responsible for occupational, health and safety duties that are in relation to their roles in the work setting. This assigns individuals duties in more than one area of specialty (Loose more, Dainty & Lingard, 2003). Noise abatement The organization has a clearly outlined plan to develop a system for the control of many environmental pollutants occurring during the company’s operations that might affect the workers or the society. The system would work to help recognize and control the risks associated with noise in line with the Noise control Act. Working hours The company is planning to purchase time compliance devices to monitor the working hours of employees. The employees are to be issued with working swapping cards that are to be swapped through electrically powered doors. The organization will use this to monitor the working hours of employees. This is because the devices are able to record the time of arrival at work and the time of work completion when employees pass through the door. Taxation The company has created an administrative tax department to cater for taxation. This has led to specific tax obligations to different agencies by the creation of many autonomous units that has reduced the cost of administration and led to efficient organization in the taxing department. This has made it easier for the company to simplify its tax legislation to enable employees easily understand the taxing system. Insurances The company has adopted an individual life and health system that supports a variety of life and health insurance products. This facilitates easier underwriting of policies for employees, insurance billings and faster processing of insurance claims by the employees. It also eases the overall insurance management task through its accounting system, reserves and statutory reporting. This leads to easier management and production of appropriate policies. Trading Practices The company is persistent in ensuring that there is the existence of fair trading practices between the company and its trading partners. These include subcontractor through signing of contracts to guide course of work, suppliers of materials through readily and easily accessible means of payments. The company has also ensured the employment of competent and qualified personnel with the requisite skills to meet the construction needs of the company (Murdoch & Hughes, 2008). To abide to its fair trade policy, the company is proceeding with constructing high quality buildings that meet the international standards. The company also aims at maintaining a higher social and economic standard to ensure compliance with the fair trade policies. The company has resolved to charging fair prices for its construction and remodelling services to ensure consumer satisfaction with its services. Environmental Issues Since the constructions are going to take place in build-up areas, the company has taken the initiative to limit both air and noise pollution. These may cause serious irritation and bother to people living around construction sites and may sometimes lead to health problems. The company has decided to be environmentally sensitive when choosing its construction materials to avoid over exploitation of environmental resources belonging to the community.
